Default "Four Tablet" inventory and material control system

I thought I'd share a low-tech inventory control system that I used for years and years with success. This might be helpful to the new contractor or the contractor that just needs a simple system.

I used small 5x7 legal pad type tablets that you buy in 10-packs from the office supply stores. Mark the cardboard binding at the top of one "TRUCK STOCK", mark one "SUPPLY HOUSE", mark one "INVOICING", and mark another "ESTIMATES".

On the truck stock tablet, you religiously write down each and every item you use off your truck, as you use it. Use this list the next morning to restock your truck at the shop. Scratch the item off as you restock it. Do not scratch out any item you did not put back that might not have been at the shop. You'll still need to put it back on the truck at some point.

Use the supply house tablet to write down any items that were not in stock at the shop, items you already know you'll need to get at the supply house, and any items you need from the supply house for the job you're working on. This lets you get everything you'll need out of one supply house run, next time you go.

On the invoicing tablet, write the customer's name and contact information on the top of the page (or pages) and write down the items that you used on their job, as you use them (or count up at the end of the day). This lets you not miss anything when you're making up the bill when the time comes. I still invoice most of my customers. Granted, invoicing might not work so well in your geographical area. Don't forget to write any items that you put on your invoicing tablet on the truck stock or supply house tablet where necessary.

On the estimates tablet, write the customer's name and contact information on the top of the page (or pages) and write up a list of the material you'll need to complete a certain job. This will help you make up the estimate when the time comes to prepare the estimate. SAVE these tablets as they get full in a stack in your office. It's amazing how many customers call back a long time later to get certain work done. You can hunt up the tablet to jog your memory on what the work involved.

Keep all four of these tablets on your truck at all times and your life might be a lot easier, with increased efficiency and less having to remember stuff.

Marc, now that you are online, 480 (and many amongst us) requested your link to overhead costs, both static and fluctuating..."can you help a former alter boy out, Father"?

I'm not so sure I ever posted such a thing. Help me out and link me to the thread in point and maybe that'll jog my memory. I know Speedy posted a plumber's overhead calculator once, which pretty much directly translated to electricians. Maybe that's what you're talking about?

I was referring to the list of material you stock on your truck.

OK, I'll bite.

What's a house knob?

Or do you do doorknobs, too?

So do you drive a van, and does all that fit in it?
...and is that on every van you use (if you have multiple trucks)?
I would love to be a rolling warehouse but now it is just not feasible for me.

Keep in mind, much of the stuff listed is quite small in size. Just the anchors would take up no more than a shoe-box size space.

And of course, I doubt he carries enough stock to wire a mall or airport terminal. Just enough to do the day's job for a service call. If you're going to work on a job that's on the schedule, then you should carry that stock seperate.

10-4.
All of the best stocked vans are, as an expression he has used, "the cat's ass".
Something I aspire to have complete one day.

Porcelain or thermoplastic single-point aerial drop insulator.

No, but it's a quick and dirty way to explain the physical size. More amps means heavier wire and that means a more stout insulator.

All I see in the link is hi-tension stuff... nothing for a house.

Do you mean mast clamps? (Johnny ball?)

They're pretty much all that's been used around here, and we don't really have a problem with drops falling off the house left and right. Unless I'm using one point of an old 3-point rack from an old single strand drop (which were through bolted) or the drop is over 100 feet, pretty much everyone uses a screw-in insulator. Masts are a different story, of course. You pretty much have to use a mast insulator. I do use through-bolted insulators on wood poles on farms and such. The tops of poles tend to soak up water and get rotten in time, which allows the screw-in insulators to pull out. For pretty much everything else, history has proven that they work just fine.
